Standard Returns (Stock Items) 

Ohio Peterbilt accepts returns of stock truck parts within 30 days of purchase, provided the items are new, unused, and in resaleable condition with original packaging and all components intact. A copy of the original sales receipt or invoice should accompany the return to verify the purchase date. 

Customers are responsible for return shipping costs on standard returns (unless the return is due to our error or a defective product), and original shipping charges are not refundable. Upon receiving and inspecting the returned item to confirm it is in new/resaleable condition, Ohio Peterbilt will issue a refund for the purchase price. Refunds for online orders will be credited to the original form of payment (e.g., the same credit card used for purchase). In-store purchase refunds are typically processed using the original payment method as well. Please allow a reasonable processing time for the refund to appear, as banking procedures can vary. 

Non-Returnable Items

To ensure product integrity and safety, certain items are not eligible for return under any circumstances. Once sold, electrical and electronic parts (such as sensors, control modules, ECU units, etc.) are non-returnable. Likewise, any opened kits (e.g., seal kits, overhaul kits, bearing kits) or packages and any special-order or custom-order parts cannot be returned. Additionally, any part installed, used, altered, or damaged part is not eligible for return or refund. Returns will only be accepted for items in brand-new condition. Parts showing wear, installation marks, fluid residue, or other damage cannot be restocked and will not be refunded. We reserve the right to refuse a return or reduce the credit if an item is returned in a condition that is not new or is missing components.

Pick-Up Timeframe and Abandoned Policy

  • Customers have 7 business days from the date their order is ready for pick up to pick up their order.
  • If the order is not picked up within 7 business days, the customer will receive a notification email informing them that they have 3 additional business days to pick up their order.
  • If the parts are not picked up within the 3 business days of receiving the second pick up notificatio email (10 total business days), the order will be considered abandoned.
  • Abandoned stocking parts may be returned to inventory and subject to 25% restocking fees.
  • Abandoned special-ordered parts will not be refunded; parts will be disposed of.

Restocking Fees (After 30 Days) 

Returns requested beyond 30 days from the purchase date are subject to a restocking fee of up to 25% of the item’s price. If a return is approved past the 30-day window, the applicable restocking fee, determined by the part type and time elapsed, will be deducted from your refund. Please note that no returns will be accepted beyond 90 days from the purchase date. Exceptions may be made only for core returns or warranty situations, as described below. Any restocking charges will be communicated to you when you arrange the return. Ohio Peterbilt will not charge a restocking fee if the return is due to our error, such as shipping the wrong item or a confirmed defect; in such cases, we will arrange return shipping at our expense and provide a full refund. 

Core Return Policy

A core charge may be assessed when you purchase certain remanufactured or rebuildable parts (e.g., engines, transmissions, turbochargers, alternators, etc.). This core deposit is 100% refundable provided you return an acceptable core unit meeting the criteria below. Our core return terms are as follows:

  • Core Return Window: To receive credit, cores must be returned to Ohio Peterbilt within 30 days of the original purchase invoice date. We recommend returning the used core when the new/rebuilt part is installed to ensure you meet this deadline. Cores returned after 30 days may not be eligible for a refund (credit for late core returns is not guaranteed).
  • Proof of Purchase: The original invoice or sales order for the part must accompany the core return so we can verify the purchase and core charge. Cores returned without referencing the original invoice may delay or forfeit your core credit.
  • Exact Part & Like-for-Like: The core you return must be the same type and part number purchased (like-for-like exchange). Mismatched cores (for example, sending in a different model or assembly than the one sold) will not qualify for credit and will be returned to you or scrapped with no refund.
  • Rebuildable Condition: As determined by industry standards and manufacturer guidelines, core units must be returned in a rebuildable condition. Cores with cracked housings, broken or irreparable components, or excessive damage cannot be rebuilt and will not earn a core credit. Normal wear and tear is expected, but the core should be intact, not disassembled, and without catastrophic damage. All major components must be present. Cores will be inspected upon return; any core deemed non-rebuildable will either be scrapped or returned to the customer upon request (freight collect), and no core deposit refund will be issued in such cases.
  • Preparation for Return: Fluids must be drained from engines, transmissions, or any part containing fluids before return, and the core should be reasonably cleaned of excess grease or dirt to ensure safe transport. Whenever possible, re-use the packaging from the new part to return the old core (this helps protect the core and identify it correctly). Include paperwork with your contact information and original invoice inside the package, and mark the box as “Core Return” on the outside. The customer is responsible for return shipping on core returns (unless otherwise stated), so we recommend using a trackable shipping service.
  • Core Credit Processing: Once we receive your core, please allow up to 2–4 weeks for inspection and processing of the credit (core returns may require evaluation to confirm rebuildability). Approved core refunds will be issued to the original payment account used for the purchase (or as an account credit, depending on how the original transaction was handled). Core returns are not subject to restocking fees – if the core meets the return criteria, you will receive the full core deposit. We will contact you if issues with your returned core prevent full credit. 

Manufacturer Warranty Coverage 
The original manufacturer’s warranty covers all new parts sold by Ohio Peterbilt against defects. Typically, this means we will facilitate a warranty exchange or repair at no cost to you, subject to the guidelines of the part manufacturer. Ohio Peterbilt reserves the right to inspect the part and consult with the manufacturer to determine warranty eligibility.
