Preventative Maintenance Documentation Requirement for Major Engine Repairs

POLICY

PACCAR’s engine warranty does not cover damage due to improper or insufficient maintenance. Peterbilt’s Warranty Agreements have been updated with additional information regarding the customer’s responsibilities as seen below, changes shown in red.

“You are responsible for providing proof that all recommended inspections and maintenance have been performed. This includes, but is not limited to, routine service checks, oil changes, tire rotations, and any other preventative maintenance tasks specified in the operator/owner’s manuals. Failure to provide preventative maintenance documentation may affect the validity of the warranty. Peterbilt reserves the right to require proof of compliance with maintenance requirements before processing a claim. Inadequate or missing documentation may result in the denial of warranty coverage for repairs or services related to the Vehicle.”

To ensure that coverage is being applied appropriately, warranty claims that are considered major component failures, as specified below, will require the submission of preventative maintenance (PM) documentation.

Effective with repair orders opened after November 15, 2024, documentation must be attached to a Prior Approval (PA) request for validation prior to the start of any repair. This requirement is applicable to each individual repair event.

Upon the approval of the Prior Approval request, the dealer will be authorized to submit a warranty claim.

Vehicles that do not have the proper preventative maintenance documentation will not be approved. Any associated warranty claims for the repair will be subject to denial.

Repairs Requiring Preventative Maintenance Prior Approval

  • Camshaft Camshaft Follower

  • Connecting Rods, Caps, and Bolts

  • Crankshaft

  • Cylinder Block

  • Cylinder Head

  • Gears – All (Camshaft, Crankshaft, Idlers, and Oil Pump)

PROCEDURE

  • Acceptable Preventative maintenance documentation includes:

    • Electronic receipts

    • Printed receipts

    • Manual logbooks accompanied by receipts for oil and filters

    • Repair orders detailing parts and labor

  • In instances where owner-operators perform their own oil changes, a receipt for the oil and filter purchased, along with the VIN, date, time, and mileage must be provided.

  • Failure to provide and attach preventative maintenance documentation will result in the denial of Prior Approval, and as such, any associated warranty claims for the repair will be subject to denial.

  • For used trucks that have recently been purchased and do not have all three preventative maintenance records under the current ownership, the following documentation related to the vehicle purchase must be included with the PA:

    • VIN or chassis number

    • Date of purchase

    • Mileage at the time of purchase
